Welcome to Link Robins ("we," "us," "our"). As a disabled Marine Corps Veteran-owned business, we are founded on principles of integrity, trust, and dedication. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use any of our services, including Warble (hosted realtime for Flarum forums), our developer sandbox environments, our uptime monitoring tools, and our community forum, blog, and newsletter.
Your privacy is critically important to us. We are committed to transparency and protecting the data you entrust to us. By using our Services, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
We collect information that is necessary to provide, maintain, and improve our Services.
A. Information You Provide to Us Directly:
Account Information: When you sign up, we collect essential information such as your name and email address.
Payment Information: Payments are processed securely through Stripe. We do not directly collect, store, or see your full credit card details. We only receive information necessary for billing management, such as subscription status and billing history.
Communications: When you contact us for support by email, we collect the content of your messages and your contact information to resolve your inquiry.
Monitoring Target Information: When you use our uptime monitoring services, you provide us with the URLs or IP addresses of the endpoints you wish to monitor.
Warble Configuration: When you subscribe to Warble, you provide your forum's address so we can provision and route its realtime connection. Your forum's database and content stay on your own servers — Warble never stores them.
Community Forum Profile: Our forum uses your Link Robins account (single sign-on). Your display name and the content you post there are publicly visible; posts in blog-connected discussions also appear on our website's blog.
Status Page Subscriptions: If you subscribe to incident updates on a status page hosted on our platform, we collect your email address. It is used solely to deliver incident and maintenance notifications for that specific status page, every notification includes a one-click unsubscribe link, and we never use these addresses for marketing.
B. Information We Collect Automatically:
Service Usage & Analytics: We do not run third-party analytics or tracking scripts on our websites. No advertising pixels, no data brokers — the only analytics we use is our own self-hosted, privacy-preserving system described below, plus the operational data that follows.
Visitor Analytics (Self-Hosted, if operated): When we operate visitor analytics, it is our own first-party system running entirely on our own infrastructure — no analytics data is ever sent to or shared with a third party. It is cookieless and designed to avoid identifying individuals: pageview, referrer, browser and device type, country-level location, and a timestamp, with sessions grouped by a daily-rotating salted hash so visitors cannot be tracked across days. Raw IP addresses are never stored in the analytics system, and raw events are deleted after 13 months.
Warble Usage Metrics: For active Warble subscriptions we periodically sample aggregate connection counts (how many clients are connected to your forum's realtime channel). This is capacity data about your forum as a whole — it does not identify your individual visitors — and we use it to operate the service and to tell you when your community is outgrowing its plan.
Server Logs: Our servers automatically record "Log Data," which may include your IP address, browser type, and timestamps. This is used strictly for security monitoring and preventing abuse.
Email Metadata: We monitor outbound email metadata (such as delivery success rates and bounce logs) via our relay provider to ensure platform reputation and service reliability.
Uptime Monitoring Data: For the endpoints you monitor, we collect availability status, response times, and any error messages to provide the monitoring service. This data is used to generate alerts and reports for you.
C. Information Hosted on Your Behalf (Client Data):
Sandbox Data: For a developer sandbox, we host a temporary Flarum + MCP environment and its contents on your behalf until it expires or you delete it. You are the owner and controller of this data. We are the data processor and will only access it to provide support at your request or to perform necessary maintenance.
3. How We Use Your Information
We use your information for the following purposes:
Provisioning: To set up your developer sandbox and configure your uptime monitoring.
Billing: To manage subscriptions and process payments through Stripe.
Support: To provide 1:1 assistance through our support channels.
Communication: To send service updates, security alerts, billing notifications, and uptime alerts for your monitored services.
Newsletter: Account holders receive our newsletter — long-form posts from our blog — by email. You can opt out at any time with the one-click unsubscribe in every issue or the toggle in your account profile; transactional email (billing, security, alerts) is unaffected by that choice.
Operational Integrity: To perform nightly backups and ensure the security and reliability of our infrastructure, including our monitoring systems.
Service Improvement: To analyze anonymized usage data to enhance the performance and features of our services.
4. How We Share and Disclose Information
We do not sell your personal information. We only share data with essential third-party service providers:
Stripe: For payment and subscription management.
Cloudflare: For DNS management, CDN and proxy services — including automatic SSL certificates and traffic routing for the subdomains and custom domains used by your developer sandbox, Warble, and status page environments — and object storage where used.
Hostinger: Our infrastructure provider. Our dedicated hardware is physically located in U.S. data centers (Phoenix, AZ, and Boston, MA).
Mailgun: Our transactional email relay provider, used to deliver transactional email such as account activations, password resets, and uptime alerts.
Support Desk (Self-Hosted): Support email is handled by our own self-hosted help desk running on our own U.S. infrastructure — your support conversations are not shared with an external mailbox provider. Inbound and outbound delivery passes through Mailgun as described above.
Our self-hosted tools — including MariaDB, Valkey, and our own analytics and search services — run on our own infrastructure and do not involve sharing your data with external third parties. We will disclose your information to law enforcement only where required to do so by law or in response to valid requests by public authorities.
5. Data Storage, Security, and Retention
Data Location: We are a 100% American-operated business. All client data, including website files, databases, backups, email processing, and monitoring data, is handled by providers and servers located exclusively within the United States. Your data never leaves U.S. soil.
Security: We implement isolated client environments, secure remote databases, and SSL/TLS encryption for all data in transit.
Retention: We retain personal information for as long as your account is active. Hosted environment data (such as a developer sandbox) is removed when the environment expires or shortly after a subscription ends, and backups are rotated/removed within 30 days of service termination. Monitoring data is retained for the duration of your active subscription for reporting purposes. Raw visitor analytics events are automatically deleted after 13 months; the analytics system never stores raw visitor IP addresses at any point.
6. Your Data Rights
You have the right to access, correct, or request the deletion of your personal information. To exercise these rights, or to request a copy of your database or monitoring data, please contact us by email.
7. Children's Privacy
Our Services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children.
8. Changes to This Privacy Policy
We may update this policy periodically. We will notify you of any changes by updating the "Last Updated" date at the top of this page.
